Cloning a Full or Partial Schedule
You can clone multiple months in advance, or just a couple of days. It's up to you!
1) While in the Scheduling Planner, click on the "Magic Wand" icon to open your Scheduling Toolbox.
2) After opening the Toolbox, click on "Clone Schedule."
3) You will receive a popup menu like the one below. We'll start at "From Location" and work our way down!
- From Location: Use this dropdown to select which Location you want to copy/clone your information from. Remember, you can clone from the same Location you're working in, or a different Location!
- From Range: Choose from what dates you will be copying/cloning. You will select two dates in this box.
- To Range: Choose where the schedule will be copied/cloned to. You will also select two dates in this box.
- Overwrite/Add As Additional:
- If you select "Overwrite Existing Shifts", the schedule you are cloning will remove any preexisting schedule that may exist for the "To Range."
- If you select "Add as Additional Shifts", the schedule you are cloning will be added to any existing shifts in the "To Range."
- Include Shift Assignments: If you would like your team member assignments to be cloned with their shifts, check this box. Unchecking this box will clone only the shift times, but not the team members who were assigned to the shifts.
- Include Shift Notes: If there are Shift Notes associated with your shifts, choose whether to include them in the cloned schedule.
- Available Teams: You can also select by team which shifts to clone. You can clone a single team, multiple teams, or all of your teams at once. Click the teams you wish to clone, then the right arrow to move them to "Selected Teams."
4) When you are ready, click on "Generate Shifts."
5) You now have a cloned, unpublished schedule!
Cloning an Individual Shift
Whether you are in the Gantt view or the Grid view of the Scheduling Planner, the process of cloning an individual shift is the same. Here are a few important tips when it comes to cloning a shift.
- Cloning only moves forward in time. For example, if you are working on a December schedule and clone starting on the 15th, the shift will copy through the rest of the month. It will NOT clone on December 1st - 14th.
- Cloning will only impact your selected date range in the Planner. If you need to clone through a long period of time, we recommend the Gantt view. This view can clone forward through 60 days.
1) While in the Scheduling Planner, hover your mouse over the shift you want to clone.
2) Click on the three dots that appear on the right side of the shift.
3) Click "Clone."
4) Repeat Shift Every: Click the boxes to select which days to copy this shift onto.
5) "What Should We Do With (Team Member)":
- Only Assign to Open, Existing Shifts - If there are upcoming shifts that match the criteria of team AND time of the shift, Prospr will assign the user to those open shifts. Prospr will not create additional, blank shifts.
- If Possible, Assign to Existing Shifts - If there are upcoming shifts that match the criteria of team AND time of the shift, Prospr will assign the user to those open shifts. - Always Create New Shifts - Prospr will create brand new shifts while cloning. If there are existing shifts that match the team and time criteria, they will not be filled by the team member.
6) Click "Apply".
You can also clone unassigned shifts as well. While cloning unassigned, you will only see the option for which days to copy the shift to.
